Learn how to automate requests for specific contract information from your counterparty or a team member
Drafting contracts in Precisely means answering a simple self-serving questionnaire and providing unique information that changes from contract to contract - such as names, dates, and values. And everything else is automated.
However, you might not know all the information about your counterparty, which is a common case in, for example, employee-related agreements, and supplier contracts.
Example
You might be drafting an employee agreement, but you don't have detailed information about their full legal name, social security number, home address, and similar.
In these cases, you can easily assign specific parts of a questionnaire to someone else.
How does it work?
To assign questions, start by clicking the "Select questions to assign" and select the question(s) you want to be answered by someone else.
💡Pro tip: You can select all questions at once, or just the unanswered questions.
Pro tip: If your questionnaire contains conditional questions, once you select a question, all its possible follow up questions will show up below.
You need to select all possible follow up conditional questions, otherwise the person will not be able to see the follow up questions.
In the example below, the question "Are you providing an ID or passport number?" gives the assignee a different follow up question based on whether they choose "ID" or "Passport." To make sure the assignee can provide the correct answer, you need to select both follow up questions.
After the questions have been selected, click the "Assign select question" button:
Then, enter your counterparty's email and, if needed, adjust the message.
Your counterparty has now received an automated email where they can provide their answers.
If they're not a Precisely user, they will need to additionally authenticate themselves by a code sent in a separate email.
Your counterparty will only see the questions assigned to them, but not the rest of the questionnaire or any other parts of the contract. Also, the annotations and pre-filled answers won't be visible to them.
Once they've clicked "Submit answer", you - a Precisely user who invited them - will receive an email notification. And your counterparty's answers will, of course, be auto-populated in the questionnaire. You're always able to check and, if needed, edit their answers before generating a complete document. As simple as that!
⚠️ Please note ⚠️ that you're only able to assign questions before the document is generated. That means if there's a published version of a document, you won't be able to assign questions when re-drafting the questionnaire.
