How Can I Use References to Populate a Signee List?

Learn how to use questionnaire answers to populate signee details

When setting up Default Signee lists, you can use references to populate variable signee information already while drafting (= answering a questionnaire). For example, this can be used if you have external signees, since they will most likely vary from contract to contract.

To set this up, do the following steps:

  1. Create questions and corresponding references regarding each signee. It’s mandatory to ask for a name and an email, while company and function/role are optional information.

  2. In the Default Signees section, insert these references by putting them in square brackets, e.g.,:
    Name: [signee_1_name] Email: [signee_1_email]
    Organization: [counterparty] Job title: [signee_1_role]

  3. Once the project is drafted, the answers to the questions will be automatically populate the signee list.

Important! Email reference must be given in a valid email format, otherwise, you will not be able to send the contract for signing.

That’s it!

P.S: If you have internal team members who are often responsible for signing certain types of contracts, you can even skip creating references, and instead, already add their details under “Default Signees” - and even use rules. Read more
